Job Description

Your role will be be to provide support to the office manager and 3 directors, including also covering the reception during holidays and few hours during the week.

Organise complex travel arrangements and requirements for directors

Regular liaison with the other offices based around the world

To ensure the efficient, effective and professional management of the office space.
To manage and maintain executive diaries and itineraries, and co-ordinate travel arrangements
To co-ordinate, prepare and process all correspondence and communications
To conduct research, assemble and analyse data to prepare reports and documents
To manage expenses preparation on a monthly basis.
To review operating practices and implement improvements where necessary.
Event management, including event liaison and briefings, booking speakers, booking meeting rooms, accommodation, catering and facilities as required.
Build and maintain relationships with key stakeholders
Liaise with major supporters.

The Successful Applicant

Strong and proven ability to manage multiple priorities

Bilingual French and English

Tact and diplomacy

Previous administrative experience with demonstrable experience in a similar environment

Ability to work towards targets and achieve deadlines
